Summary of Position: 

Under the overall guidance and direct supervision of the Administrative Manager, the Office Coordinator provides smooth operation of the central administration office. The Office Coordinator works in close collaboration with staff and vendors of the UCA and ensures consistent service delivery.  

Main Duties and Responsibilities: 

  • Management of the current expenditure on office needs
  • Coordination of customers to ensure proper product or service selection
  • Negotiation with vendors
  • Preparing contracts for maintenance and supplies
  • Provision of rational expenditure of funds for incidental costs (petty cash), reports on the use of funds
  • Management of the logistics of UCA corporate events (meetings, seminars, lectures, and trainings in Bishkek and other regions of the Kyrgyz Republic)
  • Coordinate dozens of recruitment events
  • Analyzing and defining the requirements for materials logistics; making plans to purchase supplies; examining the offers
  • Management of the inventory items for the operation of the office
  • Follow up on telephone bills, communication services
  • Supervising building maintenance officers and office cleaners

Other tasks relevant to the core responsibilities and duties of this position, as assigned by the supervisor. 

Required Qualifications and Experience: 

  • At least a bachelor’s or an equivalent degree in economics or an administration-related subject is imperative.
  • 3-4 years of working knowledge and experience in the same domain.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment set priorities, and work independently and in a team environment.
  • Fluency to speak English, Russian, and Kyrgyz is required.
  • Working knowledge of MS Office programmes, and knowledge of SAP would be an advantage.
  • Punctuality, Responsibility, Flexibility.
