Summary of Position and Key Responsibilities

Reporting to the Associate Dean and in close cooperation with the SAS AOO, the incumbent performs a variety of multifaceted administrative duties to ensure professional, efficient, and hands-on support to the Associate Dean and the body of faculty. This individual should have a high attention to detail along with excellent organizational, communication, and presentation skills. S/he also needs to show initiative, be flexible in approach to work, and be able to work autonomously in a high-pressure environment.

Main Duties and Responsibilities:

  • Serve as a primary/initial contact and authoritative information source on the Associate Dean of SAS’s activities;
  • Monitor and track the Associate Dean of SAS’s tasks execution and feedback;
  • Organize and keep up to date the calendar of major events and meetings with the faculty and other SAS internal and external stakeholders;
  • Communicate effectively to arrange meetings, events, and academic-related visits to ensure the logistical and administrative support is organized;
  • Proof-read documents and correspondence and act as interpreter when necessary;
  • Serve as the secretary to the Campus Management Team for organizing meetings and agendas and provide key liaison with Senior Management on campus-related matters;
  • Administer faculty and campus committees and otherwise official meetings and generate reports on the action plans and items in a timely manner;
  • Serve as a focal point in communication with CAO for arrangements of the means necessary to meet the objectives of SAS organizational tasks, undertakings, and projects;
  • Communicate and archive request letters, memos, guidelines, and approval documents concerning students for committees and programmes;
  • Work closely with Faculty Coordinator on various faculty documents, procedures, issues, and requests;
  • Work closely with the Faculty Coordinator on requests and tickets to be accurately placed on SAP and stay in contact with the SAP support team for troubleshooting matters;
  • Performs tasks as assigned by the Dean/Associate Dean of SAS;
  • Liaise and cooperate with the SAS Dean’s Office in CAO on tasks pertinent to the overall SAS academic operations and development;
  • Work closely with APA on various VIP and VVIP visits on the Naryn Campus, coordinating the reception of guests, organizing meetings, meals, presentations, and other related activities;
  • Take the lead in organizing and coordinating all aspects of high-level and ordinary visits involving the academic leadership, such as Rector, Dean, Associate Dean, or other distinguished guests;
  • Plan and coordinate travel arrangements, accommodations, and transportation for the visitors;
  • Ensure that all logistical details, including itineraries, are well-organized and communicated to relevant parties;
  • Plan and execute events, meetings, and activities associated with high-level visits;
  • Collaborate with various departments to organize seminars, workshops, and other academic events;
  • Act as a liaison between the academic leadership and the visitors, ensuring effective communication and understanding of expectations.

Required Qualifications and Experience:

  • Graduating student/graduate in a related field of office administration/management;
  • Excellent customer service skills, with an attitude to learn and improve skills;
  • Good team player with the ability to build effective working relationships with colleagues;
  • Professional familiarity with the Central Asian territory education landscape would be an asset;
  • A demonstrated ability to work in a multicultural environment, and establish harmonious and effective working relationships with senior academics and faculty;
  • Experience in handling sensitive information, using discretion and confidentiality;
  • Ability to manage multiple tasks successfully;
  • Ability to work independently and under pressure;
  • Demonstrate a high level of energy, enthusiasm, initiative, motivation and commitment; 
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Internet/Intranet;
  • Knowledge/familiarity with the SAP ERP system would be an asset.

Language

  • Advanced English, Russian, and Kyrgyz
