Core tasks

  • In your role, you perform the specified commercial, organisational and administrative tasks correctly and on schedule in collaboration and consultation with your line manager, in accordance with the project/programme objective and with due regard for legal, contractual and internal requirements and procedures.
  • In this context, you organise all types of events that are planned in the project/programme, in accordance with GIZ’s rules and regulations, and are the contact person for all internal and external actors.
  • You are responsible for managing and updating the required files and data for your work area. You compile these files and data for evaluations, files, and statistics, in line with requirements, and observe the quality assurance standards that apply for documents.
  • You cooperate constructively with all internal and external stakeholders in your area of responsibility and help work on the issues and tasks that arise in the project/programme. You ensure that information flows correctly, refer matters to other units as required, and ensure that all processes run smoothly.
  • In response to enquiries, you provide general information within your specialist area based on established processes and with due regard for compliance rules. You also provide information and advice on internal workflows.
  • You provide support for knowledge management and ongoing process development in your area of responsibility. You also prepare and share documentation.
  • You perform the tasks assigned to you by your line manager, where required.

Main activities

  • Management of incoming and outgoing correspondence, including internal;
  • Organize rooms for the meetings.
  • Reception of visitors;
  • Assists in preparing data collection instruments (questionnaires, interview guidelines);
  • Participates and organizes internal and external meetings/workshops on the fieldwork process or other project activities and assists in documenting these;
  • Assists with M&E materials collection and documentation;
  • Assists with PR materials preparation and collection for the project like providing draft inputs, preparing photos from events, collecting data (figures, etc.) necessary for PR, etc.
  • Assists with partner communications;
  • Preparing documentation (vouchers, invoices, receipts, accounting docs, etc.) as needed for smooth processing by Service Units; formatting documents, copying, translation, scanning, and submitting to Service Units/Country Office;
  • Assists in processing travel expense statements of staff and partners for approval by the superior.
  • Supports organisational and logistical aspects of project activities such as: meetings, workshops, and seminars (internal and external);
  • Preparing and providing equipment etc. required for meetings in consultation with the team;
  • Assists in arranging accommodation, transfers for project staff, experts, and visitors;
  • Supports the visa process for international experts, project staff members, and partners;
  • Helps prepare visitor programmes for international experts and partner organisations working within the project;
  • Assists to draw up travel schedules; proposes travel options for domestic and international business trips for project staff.
  • Need assessment for procurement of office materials and preparing requests to Service Units;
  • Assists with the needs identification for contract services with local experts, vendors (e.g. hotels, catering, consulting companies);
  • Translates and interprets consecutively for the project and international consultants from Kyrgyz and Russian into English and vice versa;
  • Files documents in reference files or in DMS in line with GIZ filing rules.

Where appropriate and reasonable, the position holder is willing to perform tasks outside the scope of the job description.

Qualifications and specialist knowledge  

  • University degree (BSc/BA) in a job-related field, such as social and human sciences, economics, law, international relations, or a similar area 
  • At least 2 years of professional experience in the field of project and administrative assistance. Experience of working with international programmes is an asset
  • Experience in written and verbal translation is an asset 
  • Ability to express oneself well both verbally and in written in English, Kyrgyz, and Russian; polished, target-group oriented style; knowledge of German would be an asset
  • Very good working knowledge of ITC technologies (related software, phone, email, the internet) and computer applications (e.g., MS Office) 
  • Experience in processing and formatting documentation
  • Experience of interaction with external clients and/or state agencies is a strong asset
  • Good self-management and organizational skills
  • Reliability, punctuality. 

Necessary information about the preconditions for recruitment

Duty Station is Bishkek. 

Contract term is till 31.05.2027.
